Job Summary  

We are seeking a detail-oriented, thorough, and organized procurement and inventory control specialist to oversee purchases and develop new contracts. In this position, you will play a key role in procuring high quality and cost-efficient supplies for our organization. You will follow procurement procedures, maintain an updated list of current and incoming inventory, be responsible for approving purchases and supervise stocks / warehouses staff. 

Job Duties and Responsibilities  

Procurement and inventory control 

  • Conduct sourcing activities in accordance with established policies and procedures to meet business needs and participate in negotiations to establish and review supply arrangements 
  • Implement and contribute to the development of contract management plans, resolve issues, monitor performance and negotiate contract variations through effective supplier relationships to enhance business outcomes 
  • Research potential vendors 
  • Prepare tenders 
  • Compare and evaluate offers from suppliers; compare prices, specifications, and delivery dates in order to determine the best bid among potential suppliers 
  • Negotiate contract terms of agreement and pricing 
  • Prepare purchase orders by verifying specifications and price; obtain recommendations from suppliers for substitute items; obtain approval from authorized persons; create the POs on the accounting software and track progress against original POs as well as variances from budgeted amounts. 
  • Track orders and ensure timely delivery 
  • Review quality of purchased products 
  • Enter order details (e.g. vendors, quantities, prices) into internal databases 
  • Maintain updated records of purchased products, delivery information and invoices 
  • Stay up-to-date with industry trends 
  • Collect and analyze consumption data 
  • Ensure availability of safety stock, and timely re-stocking upon need 
  • Respond to employees and suppliers inquiries about order status, changes, or cancellations 
  • Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems 
  • Prepare, maintain, and review purchasing files, reports and price lists 
  • Perform cost analysis and set appropriate benchmarks 
  • Match suppliers' bills to purchase orders in order to verify accuracy 
  • Approve bills for payment 
  • Locate suppliers, using sources such as catalogs and the internet, and interview them to gather information about products to be ordered 
  • Prepare daily, weekly and monthly procurement reports 
  • Design and implement an inventory tracking system to optimize inventory control procedures 
  • Controls inventory levels by conducting physical counts; reconciling with data storage system 
  • Prepare detailed reports on inventory operations, stock levels, and adjustments 
  • Overlook the various stocks / warehouse of the Company and supervise the activities of the warehouse keeper 
  • Coordinate with warehouse staff to ensure proper storage 
  • Report to upper management on stock levels, issues etc 

Job Requirements and Qualifications 

  • Bachelor’s degree in procurement, business, finance, or related field 
  • Able to multitask, prioritize, and manage time efficiently 
  • 2 4 years of experience in procurement or purchasing  
  • Aptitude in decision-making and working with numbers 
  • Experience in collecting and analyzing data 
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel) 
  • Ability to negotiate, establish, and administer contracts 
  • Excellent verbal and written communication skills 
  • Accurate and precise attention to detail 
  • Ability to work well with management and staff at all levels 
  • Goal-oriented, organized team player
