Job Description
Job Summary:
The Help Desk officer is responsible for providing a friendly and helpful information, direction and administrative support in the BDD information booth in order to ensure visitors’ management and referrals to the BDD community, in addition to conducting basic logistics and administrative tasks.
Duties & Responsibilities:
- Greeting and assisting the BDD community members and their visitors, directing them to the appropriate location and informing the relevant tenant of the visitor arrival
- Answering, screening, providing info, and routing incoming calls (external and internal) to the appropriate tenant by providing correct and accurate information
- Applying knowledge of and responding to questions regarding opening hours, regulations, and practices within the BDD community including but not limited to Fitness Classes schedule, BDD Menus, Events, BDD tenants, BDD buildings and Workshop schedules etc.
- Performing minor and routinely cleaning and recycling follow up as well as garden maintenance. Keeping an eye on all BDD’s shared facilities, mainly the garden and the surrounding area, making sure that they are always clean, proper, and well maintained
- Monitoring and ensuring that the information booth is kept tidy and projects a business-like image
- Manage the food delivery process incoming to all of BDD’s buildings
- Organizing data and information about all companies in BDD in all buildings
- Providing support and information when a special event is taking place at BDD
- Reporting damage, problems and accidents as well as general maintenance issues and main security issues
- Conducting additional basic administrative tasks as requested
- Ensure timely replenishment of vending machine stock and perform regular cash collection and reconciliation to maintain accurate records.
Qualifications & Competencies
- A technical or university degree
- Around 2 years’ experience in administrative/secretarial work
- Familiar with MS Office
- Ability to read, write and speak in either Arabic, French or English
- Ability to perform a routine work and be sitting for several hours
- Ability to comprehend, carry out and relay multiple verbal and written instructions
- Mental and visual effort; intermittent attention to detail
- Good verbal communication skills
- Demonstrate flexibility and ease in interacting with diverse group of people
- Ability to work independently
- Ability to work in a busy environment
- Ability to remain calm in emergency/stressful situations
- Ability to take decisions and solve problems on the ground
