Job Description
Summary:
We are looking for a Junior Community Officer who will play a pivotal role in coordinating and supporting a wide range of events and managing coworking space bookings within our BDD community. This individual will be responsible for managing event logistics, coordinating with internal and external stakeholders, and ensuring the seamless execution of events, while maintaining smooth occupancy management and a welcoming, productive environment for all members.
Responsibilities:
Space & Events
- Greet and welcome BDD community members and their visitors to the space, maintaining a professional and hospitable atmosphere at all times.
- Coordinate the events calendar in collaboration with the logistics team, ensuring all events are properly planned, scheduled, and supported.
- Assist in the planning, coordination, and execution of community events, ensuring they run smoothly and align with the needs of tenants and stakeholders.
- Monitor events taking place within the community space, addressing any issues that arise and ensuring a seamless experience.
- Handle event equipment and AV systems, including setup, operation, and breakdown, and troubleshoot any technical issues.
- Report any damages, maintenance issues, or incidents promptly to the appropriate personnel.
- Track and report on key community metrics, including event attendance, space utilization, and occupancy rates.
- Prepare accurate and timely quotations for space bookings, event packages, and membership inquiries.
- Perform any additional tasks requested by management.
Community
- Support the booking and scheduling of coworking spaces, meeting rooms, board rooms, virtual offices, and the sports court, including handling keys and ensuring availability and cleanliness.
- Support the full sales cycle for BDD Virtual Offices, meeting rooms, and co-working memberships, including renewals and collection.
- Conduct campus tours for prospective members and visitors, presenting the space in its best light and answering inquiries.
- Serve as a point of contact for community members, addressing inquiries, concerns, and suggestions in a timely and professional manner.
- Maintain accurate records of event activity, space bookings, and member interactions using the relevant management systems.
- Assist the Community Management Supervisors with day-to-day activities as and when needed, including administrative tasks, scheduling, research, and preparation of reports.
Qualifications:
- Bachelor’s degree in Event Management, Business Administration, Hospitality, or a related field.
- Previous experience in customer service, event coordination, or space management is a plus.
- Strong organizational skills with the ability to manage multiple priorities simultaneously and meet deadlines.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with team members and stakeholders.
- Detail-oriented mindset and proactive attitude.
- Proficiency in MS Office Suite; experience with property management or booking software is an advantage.
- Flexibility to work occasional evenings and weekends as required by event schedules.
- The standard schedule is from 8:30 AM to 5:30 PM, with two Saturdays per month.
