The Academic Assistant will assist the Program Manager in overseeing and managing the entrepreneurship program's projects, including events and competitions, ensuring they are completed on time, within budget, and to the specified quality standards. This role involves coordinating with team members, startups, mentors, AUB staff, service providers, partners and guests. The Academic Assistant will also have the opportunity to lead specific projects independently under the supervision of the Program Manager, allowing for professional growth and leadership development.

Basic Functions:

The basic function of the Academic Assistant is to assist the Program Manager with administrative, promotional, and outreach functions. This includes market research, data collection, customer satisfaction surveys and startup updates, in addition to assisting with outreach activities for competitions and entrepreneurship programs, such as Demo Days, Kickoff events, President’s Innovation Challenge, among other events.

Duties Performed:

Administrative

  • Assist, under the supervision of the Program Manager, the scheduling of events and assist in logistics of program, including but not limited to:
    • Core program webinars/seminars
    • Inspirational and Experiential Sessions
    • Startup Competitions
  • Coordinate with high level startup stakeholders including judges, investors, and mentors
  • Sharing program documents for admitted startups to fill; filing the documents after receiving
  • Reach out to iPark Alumni to get their data; Program Manager acts on Data
  • Assist in organizing IVP (idea validation program) and B&A (build and accelerate program) and GTM (go to market program) program Databases; create chart analytics
  • Assist in creating application pipeline for competitions (through Award Force Platform or other method)
  • Writing/Formatting minutes of meeting, or formatting minutes written by the Program Manager
  • Provide and receive prize/award/grant/investment paper work to and from startups; the PM then processes requisitions
  • Create materials for meetings and projects, including data collection, surveys, and presentations.
  • Develop and maintain databases related to Zein AUB iPark programs using advanced Excel skills.
  • Create indexed startup profile and data room folders and maintain them on the shared drive.
  • Conduct update surveys and business analysis on existing and target startups.
  • Perform other duties as requested by iPark administration.
  • Support administrative tasks related to the program and cohort management

Promotional

  • Be the right-hand-person of the Program Manager for social media marketing of program news and events
  • Execute on-campus marketing campaigns for Zein AUB iPark programs and competitions.

Outreach

  • Follow up with iPark Alumni with monthly surveys and quarterly calls.

Leadership

  • Lead on new iPark projects under the supervision of the Program Manager
  • Develop a detailed project plan and track progress
  • Assist in developing project scopes and objectives, involving all relevant stakeholders and ensuring technical feasibility.
  • Manage relationships with all stakeholders
  • Create project reports and documents

Work Contacts:

The Academic Assistant will collaborate closely with the Zein AUB iPark staff and administration, the IT Department, and other relevant AUB departments, as well as external contacts within and outside the AUB community.

Independence of Operation:

The Academic Assistant needs to be able to act precisely on clear instructions. If instructions are not clear, the Academic Assistant must drill down until he/she is completely certain of the action items discussed, and of the next steps moving forward.

Once processes are clarified and defined, the Academic Assistant needs to work with the processes unsupervised.

The Academic Assistant must also be able to lead on a project under the supervision of the Program Manager.

Supervisory Responsibility:

The Program Manager needs to supervise the Academic Assistant on all new processes, giving feedback where questions are posed. Supervision on defined processes will be discontinued. Marketing posts should be cleared by the Program Manager and, when needed, by the Associate Director.

Physical Effort:

Most of the work will be done mainly on a laptop. Phone calls need to be placed, through WebEx extension or through iPark phone lines, or WhatsApp. Emails to set up calls and deliver program updates will be essential.

Work Conditions:

Typically the work will be from iPark office in BDD 1082 or remotely. The Academic Assistant is expected to maintain a professional appearance, with formal attire required during events.

Minimum Requirements:

  • All majors are welcome; preference given to BA in Business/Computer Science or Bachelor of Engineering.
  • GPA above 3.0
  • Excellent English skills, written and fluent spoken. Minor/Electives in English is a plus.
  • Competence in Microsoft Excel:
    • Organization and tracking using formulas and functions
    • Competence in large Database Management
    • Competence in chart dashboard delivery
  • Competence in Microsoft Word documents, formatting and writing
  • Competence in creating Microsoft PowerPoint presentations.
  • Competence in scheduling events accurately, always
  • Competence in learning to use digital software like Airtable, Mural, etc…
  • Comfortable in speaking on the phone with warm leads and cold prospects
  • Comfortable sending cold emails/cold LinkedIn messages
  • Experience in managing social media platforms.
